The leads that never reach your lead system: REALTOR.ca emails, sign calls and open house sign-ins

REALTOR.ca emails, sign calls and paper sign-ins often skip your lead system, so no follow-up runs. How to find and route them, for GTA and Calgary teams.

Which leads skip your lead system?

The leads most likely to skip your lead system are the ones that arrive by email, by phone or on paper: REALTOR.ca inquiries in the listing agent's inbox, calls to the number on a sign, and open house sign-in sheets. Nothing automatic can reply to a lead it never sees. The fix is to route each source into the system you already use first, then let follow-up run from there.

Website forms and ad leads usually flow into a lead system on their own. The three sources below usually depend on a person, and that is where they go quiet.

Why do REALTOR.ca inquiries end up in an inbox?

REALTOR.ca sends listing inquiries by email. According to CREA, all REALTOR.ca leads go to the listing agent, there is no referral fee, and agents should confirm their preferred email address in their local MLS system and check their junk folder (CREA Cafe, November 2021).

That matters because REALTOR.ca is where many Canadians search. CREA reports that REALTOR.ca held more than 60% of Canadian online market share in 2025 (CREA Cafe, May 2026).

An email in one agent's inbox is easy to miss on a busy day. CREA notes that lead emails can include useful details, such as whether the person is pre-approved, already working with a REALTOR, or has a preferred showing time. Those details only help if someone reads them quickly.

Some lead systems can read forwarded lead emails and create a contact automatically, often called email parsing. Ask your provider whether yours can, then test it with a real inquiry.

What happens to calls from your signs?

A sign call rings an agent's cell. If the agent is at a showing, it goes to voicemail. Unless someone types it into your lead system later, there is no record of the lead, no owner and no follow-up.

Each of those callers is standing near a listing and interested now. A team can catch them with a forwarding or call-tracking number that logs every call and missed call into your lead system. That takes some setup, but it turns a missed call into a lead with an owner instead of a voicemail nobody returns.

Why do open house sign-ins go cold?

Paper sign-in sheets wait until someone types them in. That can be days later, or never.

In Mike DelPrete's 2024 secret-shopper study of US open houses, 42% of hosting agents never asked for the visitor's contact details. Of those who did, a third never followed up. In total, 62% of open house shoppers got no follow-up at all.

A simple fix is a QR code or tablet sign-in form that feeds your lead system directly, so each visitor becomes a contact with a source and an owner before they reach their car. Ask on the form whether they would like a follow-up by text or email, and keep that answer on record. Keep paper as a backup, with a rule that it is entered the same day.

How do you find out which leads skip your lead system?

Make a list of every way a lead can reach your team, then trace each one:

  • REALTOR.ca inquiries: whose inbox do they land in, and does anything copy them into your lead system?
  • Sign calls: whose phone rings, and what happens to a missed call?
  • Open house sign-ins: paper or digital, and who enters them, by when?
  • Website and ad forms: do they reach your lead system with the source attached?
  • Texts and messages to agents' personal phones: does anyone log them?

What should you do with that list?

For each source, write down whether it reaches your lead system on its own, through a person, or not at all. The "through a person" and "not at all" rows are where leads go quiet. Fix the busiest one first.

Once every source flows in, follow-up can work the same way for all of them: a quick first reply, a clear owner, follow-ups until the person replies or says STOP, and one place where the team lead can see what happened. An AI Review is a simple way to start: we trace one recent lead with you, find which of your sources slip through, and sort out what to do about each one, from a same-day rule to a change in the system you already use.

Questions

Can REALTOR.ca leads go straight into my lead system?

REALTOR.ca sends leads by email to the listing agent. If your lead system can read forwarded lead emails, you can forward each inquiry so it becomes a contact. Check with your provider and test it with a real inquiry.

Should we stop using paper sign-in sheets?

Not necessarily. Some visitors prefer paper. What matters is a clear rule for who enters them and by when, ideally the same day, plus a digital option for visitors who will use it.
